4. INFORMATION AND COMMUNICATION GC values the quality of information and communication that supports the effectiveness of its Internal Control System, as detailed below. GC establishes information classification along with instructions for filing important and controlled documents, including information from both internal and external sources. This process ensures security, accuracy, and completeness of information for the future use. GC implements SAP ECC 6.0 to process key business transactions, reducing duplication of small legacy systems, and enhancing the efficiency of management reporting. GC implements the “IdeaMANI” (Multi Access for New Initiatives) program that centralized the information of operational development and investment projects. and systematically monitoring the implementation of projects. In 2021, GC developed proactive tracking between key risk indicators, key performance indicators and long-term strategies. This allows for more effective achievement evaluation of organizational goals and could revise strategic plans to achieve goals based on the situation. In 2021, GC implemented a personal data management system within GC group including establishing a division which responsible of personal data protection operations to support the enforcement of the Personal Data Protection Act 2019 in the year 2022. In 2021, GC implemented data governance to ensure the proper management of organization’s data-efficacy, availability, and confidentiality of information by announcing the Data Governance Policy which executives and employees are required for policy acknowledgement. Data Governance framework and tools are established and deployed in GC, while the Data Governance Council is responsible for ensuring that the company’s data have properly controlled throughout the data life cycle. Furthermore, Data Governance awareness and understanding have been raised to employees through various types of communication, apart from the awareness enhancement, the training was organized to employees to educate about the data governance policy, standards, and relevant best practices. GC has formed team of analysts call “GC EYE” to update analysis on external factors to report potential business impact to executives and relevant parties through mobile application platform and organized GC EYE FORUM activities by inviting external experts to lecture on various topics. GC communicates relevant information to the Board of Directors, executives, employees, and stakeholders to support efficient operations and internal controls. The Board of Directors meeting’s documents are delivered to directors before Board meetings to allow sufficient time for them to study and review to make decisions. When necessary, the Board of Directors may request additional information from management team. Furthermore, to dispatch information and meeting documents easily and swiftly, GC has developed and uti l ized the application called “Digital Join”, in which all directors have access to the electronic documents, protected by data encryption, on their devices. GC creates multi-channels communication within organization. These include the organization’s intranet, E-mail, feed important information through online orientation and Town Hall activities for facilitating communication from top management to employee which was held through Microsoft Teams Live Streaming. In addition, the CEO podcast serves as communication channel for all employees in the organization. In 2021, a CEO Special Talk was launched to continuously communicate GC corporate agenda. GC communicates with external stakeholders, through the Company’s website, Facebook, Twitter, and LINE GC official. In addition, designated departments are responsible for disclosing important information to all stakeholders regularly.
